I am writing to apply for the Personal Assistant position advertised on Seek.com on September 11th. 2019. I am now in the final semester of my post-graduate study at the University of Melbourne, and major in International Relations. I would like to have the opportunity to contribute to your company.
Hays is a leading global professional recruiting group and is the expert and market leader in this field. Your company has made so much achievement in the worldwide job market. I am very interested in this area, and I believe that being a member of Hays would be a marvelous start of my career.
During my post-graduate life, I acquired knowledge of custom and culture of different countries, including the countries where your major partners are located. I am also familiar with the policies and laws of these countries. During my undergraduate study, I majored in German Language. I have also learned Japanese for two years. I have the capability to speak English, German, Japanese and Chinese (my mother language) fluently. This could be very useful in a company that handles multinational businesses.
I had a one-year internship at Continental Holding Corporation in Shanghai, China. I worked as an Assistant for the International Assignment Officer in the Human Resource Department. I have experience in communication compiling and distributing, as well as meetings and events coordinating. My communication skills were enhanced by communicating with foreign employees and local vendors. I devoted myself to the teamwork and training project. Decent outcomes were achieved by the end of my internship period.

The following are my responses to the criteria of this position.
1, A professional manner
During my internship at Continental Holding Corporation Shanghai in China, as an office assistant in the International Assignment office in the Human Resource Department, I acquired a professional manner in the workplace. For example, I communicated with foreign employees when they need help with their VISA, transportation or housing issues. When I talked with them in person or on the phone, I spoke politely and respectively at all times, and I paid full attention to people when they were talking. I also attended a workshop on how to dress properly in the workplace.
2, Good communication skills
During my postgraduate study at the University of Melbourne, many of my seminars and workshops required me to communicate with students from different cultural backgrounds in class or team projects. I need to express my own opinion and accept the ideas of other students. In the research groups, I have engaged in group discussions, both online and offline. During my internship, I communicated with foreign employees as routine work. For example, I wrote reports to them every month about their payslips and bank account information. As such, I demonstrated both my verbal and written communication skills.
3, High level of time management skills, with the ability to prioritize and manage multiple tasks while consistently meeting deadlines
During my internship, I was always in a time-sensitive environment. For example, at the end of my internship period, I need to sort the profile of more than 300 foreign employees in two weeks, prepare for the handover and do the daily routine work at the same time. I made a strict time table for each issue and managed my time well to meet deadlines while having decent outcomes.
4, The ability to be flexible and proactive
As an assistant in the International Assignment team, I had to deal with unexpected situations. To deal with these situations, I have developed some proactive processes, such as emergency contacts in the bank or local bureaus and to-do lists for critical situations. For example, a foreign employee’s wallet, together with his identity certification, was stolen when he was on a business trip. Without this certification, he could not get on the plane and came back to the Shanghai office. I helped him to contact the local police and the administration bureau and successfully got him back in the office. As such, I have demonstrated that I can be flexible and proactive.
5, The ability to show initiative
In university, I was required to collaborate with other students. I enjoyed organizing group projects. For example, in a group research project for politics class, I organized the meetings with my teammates and set the agenda for the whole project. During my internship, I also showed initiative. For example, I have initiated a simplification of the application for the bank account of the foreign employees.
3, Reflections
Before this assignment, I have never written a cover letter, or any responses to the job criteria. So I believe this assignment is very helpful for me.
I have met some challenges while writing this genre set. When writing my experience, I found it hard to find balance between university/school experience and internship experience. To this job position, my internship experience as an assistant intern is more useful than my experience at university. But if I write nothing about my academic career, the superior won’t know I have done at university.
I also need to improve my English grammar. I usually confused about definite articles and singular and plural.
